Missed call cost calculator
This calculator estimates how much revenue a service business loses each month to phone calls nobody answers. Enter three numbers from your own business and it does the multiplication.
How the math works
The calculator multiplies four things:
missed calls per week × 4.33 weeks × average job value × booking rate
With the starting numbers (10 missed calls a week, a $400 average job, and 30 out of 100 callers who would have booked), that is 10 × 4.33 × $400 × 0.30, which comes to $5,196 a month.
The 4.33 is the average number of weeks in a month (52 weeks divided by 12).
Where to find your numbers
Calls you miss per week
Your phone carrier or business phone app keeps a call log. Count the calls marked missed or unanswered over the last two weeks and halve it. Leave out calls you returned and reached the person. If you can't pull a log, count voicemails for one week and add a few, since many callers hang up without leaving one.
Average job value
Add up your last 20 invoices and divide by 20. Use invoices from the kind of work that usually starts with a phone call, not your largest contract jobs.
Booking rate
Think about callers you did reach: out of 100, how many ended up booking? If you track leads, use that number. If you don't, a cautious guess is fine. The point is to see the size of the gap, not to be exact.
What the number means, and what it doesn't
It is an estimate of revenue at stake, not a forecast. Some missed callers try again later or leave a voicemail you return in time. Others were never going to book. On the other side, the number leaves out repeat work and referrals from a customer you kept, which can be worth more than the first job.
If the result is small, missed calls probably aren't your biggest problem. If it's large, it's worth fixing how unanswered calls are handled.
